Tee Bookings                                           Frost Sheet 4 September 2010

1. Introduction.

Our current tee booking system whereby members make their tee bookings on the tee sheets held in the folder in the Pro Shop is to be replaced from the 1st September with an internet tee booking system. The current system works pretty well but there are improvements we can achieve with an internet system.

- more convenient for members- they can make a booking on their home computer

- less clutter in the Pro Shop

- less time demands on our Pro Shop staff to make bookings on behalf of members, members will be able to do it easily themselves

a more secure system, no more "twinking" out of players names by those without the authority to do so

the ability to put down "draws" in members times, if required, well in advance of the day of play

2. How will it work?

There will be three options to make a booking

the member, on their home computer, goes into our Russley Golf Club website (www.russleygolfclub.co.nz) under Members Information/Playing Golf/Tee Booking to access the tee booking system (we will actually provide a link to "Tee booking" from the home page) and logs in under his/her Russley number and individual password

the member uses the designated computer in the Pro Shop to log in and make the booking

the member rings the Pro Shop and requests that they make a booking on their behalf

3. What is the log in password ?

When going onto the internet the player will have to enter firstly their Russley number (371 3714 for example) and then a password. Every Russley member will be automatically issued with their own unique password which we will be sent to them. If they wish to change that password to something they are more familiar with then they can do so by making such a request via the office. This password is theirs alone and remains confidential to them.

4. When can I make the tee booking?

Tee bookings will be able to be made in members times as they are at present, that is one week in advance. Thus on Saturday 20th September from 7.00am onwards the member will be able to log in to make a tee booking for Saturday 27th September. Outside members times, in what we call "equal rights times" (i.e. members or non members may play), tee bookings will also be able to be made a week in advance.

5. Will certain members times be unavailable for making a booking?

Certain members times will be blocked out exactly as they are now to allow the tee booking to be controlled by, for example ;

the ladies committee. The current practice will remain whereby the tee sheet is controlled by the starters for the ladies committee

the Friday Group, again the current practice will remain

If one of the Committees wish to control a members time by insisting on a draw this will be able to be done. The members time can be blocked out and the draw for play entered prior to play.

6. Once I have logged in what do I do?

- Select booking sheets

- Select the date on which you wish to book

- This will bring up the booking times available, i.e. it will show you the tee sheet

- Select the time you wish to play

- Enter your number in that time slot and key update- your booking is made

7. Can I make a booking on behalf of others?

Yes, a member can make a booking for themselves and up to three other players at the same tee time, i.e. you can book a four. When making this booking, you will be required to enter their club ID number.

8. Can I change my booking after I have made it?

Yes you can enter the system some time later and change your booking. If you have made a booking for a four then you will have the authority to delete the booking of one of the players you originally booked for and replace that member with another

9. Can names be entered on the tee sheet more than once?

The simple answer is no, the rationale behind the system is to prevent this from happening. Thus if you wish to book a four in and one of those players you are booking on behalf of is already booked in at another time you will not be able to book that player in.

10. Frost Bookings.

The frost sheet for bookings on frost delayed days will continue to operate as is. That is, normal tee time bookings will be made on the system, frost bookings will be made on the frost sheet held in the Pro Shop.

11. Conclusion.

The system is simple and easy to use. Hopefully we will have a week prior to the 1st September where the system will be available for players to have a look and practice making their bookings if they so wish. If you have any queries please come to the office or ask at the Pro Shop for help.
